Acceptable Use Policy

These rules govern access to and use of ZoikoTime. They exist to protect the security, reliability, lawful operation, and reputation of the platform — and to protect workers, Customers, and third parties.

This Policy is incorporated into the ZoikoTime Terms of Service. Violation may result in suspension, termination, or legal action.

1. Purpose and Policy Status

This Acceptable Use Policy (the "Policy") sets out the rules that govern access to and use of ZoikoTime, including websites, applications, software, dashboards, APIs, integrations, documentation, support channels, AI features, workforce analytics, evidence records, reporting tools, and related services.

The purpose of this Policy is to protect the security, reliability, lawful operation, and reputation of the Service; protect Customers, Authorized Users, workers, and third parties; prevent misuse of workforce data and monitoring functionality; and ensure that ZoikoTime is used only for lawful, transparent, proportionate, authorized, and governance-aligned business purposes.

This Policy is incorporated into the ZoikoTime Terms of Service, applicable Order Forms, Data Processing Addendum, and other documents forming part of the agreement between Customer and Zoiko Tech Inc.

2. Scope and Applicability

This Policy applies to each Customer and to every person or system that accesses or uses the Service through or on behalf of a Customer — including administrators, employees, workers, contractors, consultants, agency staff, invitees, trial users, API users, and integration users.

Each Customer is responsible for ensuring that its Authorized Users and any person subject to ZoikoTime-enabled workforce processes comply with this Policy. A breach by an Authorized User, affiliate, contractor, or integration provider will generally be treated as a breach by the Customer.

5. General Standard of Acceptable Use

Customers and Authorized Users may use the Service only for lawful, authorized, transparent, proportionate, security-conscious, and contractually permitted business purposes. Use of the Service must comply with all applicable laws, regulations, court orders, regulatory guidance, collective bargaining obligations, works council requirements, internal policies, and notices provided to affected individuals.

The Service must not be used in a manner that is deceptive, discriminatory, abusive, exploitative, harassing, unsafe, unlawful, invasive, or inconsistent with the legitimate business purpose for which ZoikoTime is provided.

7. Prohibited Uses

Customers and Authorized Users must not use, attempt to use, permit, encourage, or assist any person to use the Service for any prohibited purpose.

8. Workforce Monitoring and Worker-Rights Requirements

ZoikoTime is designed for workforce assurance and performance intelligence. Because workforce data can materially affect individuals, Customers must deploy and use ZoikoTime with heightened care.

8.1 Transparency and Notice

Before enabling monitoring, telemetry, screenshots, activity tracking, or AI-assisted insights, Customer must provide affected workers with clear, accessible, and legally adequate notices that describe the nature, purpose, scope, lawful basis, retention period, access rights, human review process, and consequences of the processing.

8.2 Lawful Basis and Proportionality

Customer must determine and document the lawful basis for processing worker data as required by applicable law including GDPR, UK GDPR, US state privacy laws, employment laws, and workplace monitoring laws. Customer must configure the Service so that data collected is necessary and proportionate to the disclosed purpose.

8.4 Human Review and Due Process

Customer must not use ZoikoTime outputs as the sole basis for adverse action against a worker. Customer must provide appropriate human review, context evaluation, opportunity to challenge or correct inaccurate records, and any due process required by law, contract, policy, or works council arrangement.

9. Artificial Intelligence, Automated Insights, and Decision Support

ZoikoTime may include AI-assisted features, anomaly detection, confidence scoring, and similar decision-support functionality. These features are intended to support human review and business governance, not to replace lawful managerial judgment or required legal processes.

9.1 No Sole Reliance for Adverse Decisions

Customer must not rely solely on AI-Assisted Outputs to make employment, compensation, disciplinary, termination, or other legally significant decisions. Human review must be meaningful, informed, documented where appropriate, and capable of changing the outcome.

9.3 Prohibited AI Misuse

17. Investigation, Enforcement, and Remediation

Zoiko Tech Inc. may investigate actual or suspected violations of this Policy through review of account activity, audit logs, configuration settings, API activity, and other reasonably necessary information.

Where a violation is determined, Zoiko Tech Inc. may take appropriate action including issuing warnings, requiring remediation, suspending users or accounts, terminating access, notifying administrators, preserving evidence, or contacting law enforcement where legally required.

20. Changes to this Policy

Zoiko Tech Inc. may update this Policy from time to time. Material changes will be communicated in accordance with the ZoikoTime Terms of Service. Continued use after an updated Policy becomes effective constitutes acceptance.
